WHAT SHE DESIRED

Heather was ready to step into the CEO role in her business. She wanted to grow her client base, but in order to do so, it meant expanding and growing her team. She was used to having her hand in every aspect of her business, especially client work, so the process of training and delegating work her team was one that needed to be addressed. We knew implementing the right systems would be critical to the successful growth of Oprava Studios.

When Heather  contacted Business Laid Bare, she was working a lot of long days and nights and feared she couldn’t continue to deliver the excellent customer service her business was known for. She desired more revenue without working herself into the ground and get back to why she started this business in the first place – flexibility and freedom.

PROJECT GOALS

Growing a business means letting go of doing it all while having the utmost confidence that your business will continue to run smoothly and optimally. What do does a business need to run at that high level? Systems! That means having the proper systems in place to take care of clients and contractors. Our goal was to create expandable systems for hiring team members, delegating tasks, and delivering results to support the rapid growth Oprava Studios was experiencing.

Moving away from the client work meant Heather had to “relinquish” control and trust her team to do excellent work. And that’s not an easy task when you have so much knowledge in your head and good rapport with your clients. Heather not only needed systems to allow for a seamless transition to CEO, but also a plan for all systems to communicate beautifully together. And when systems communicate seamlessly and effortlessly together, businesses experience ease. You and your team start working smarter.

APPROACH LAID BARE

Our initial approach was to look at every procedure in her business to uncover where there were redundant or inadequate systems  that could impact the efficiency and consistency of the business. Most importantly, we were determined to help Oprava Studios create space for growth first.

To begin, we looked at was Heather’s schedule with herself, her business, and her team. If she was going to grow her business, she couldn’t be exhausted. So, we worked on creating a schedule that allowed her to do everything she wanted and needed to do in her business, in addition to specific time allocated to self care and fun. The new schedule focused around time blocking so she didn’t have to switch projects too often (which drives down productivity).

PROCESS LAID BARE

We created a system for her client work, like an editorial calendar, that consisted of streamlining and automating her client experience system. Then we upleveled her project management system to ensure the workload could be handled with extreme professionalism and in a timely manner. Lastly, we designed a system that allowed Heather to hire and delegate easily, thereby freeing up time and resources to bring on additional clients. Heather’s team consisted of a healthy mix of virtual and in-person team members, so we created cohesive systems that catered to everyone on the team. Successful systems begets successful teams.

OUTCOME LAID BARE

Oprava Studios is like a shiny new business. Everything runs seamlessly and effortlessly together. Heather no longer worries about her team because she knows exactly what they are working on and all relevant client progress. She is able to see things at the 10,000 ft level and runs her business as a CEO. The systems implemented allow her to completely trust her team to do excellent work. She knows her clients are well cared for because the communication is spectacular from all parties. Best of all, she doesn’t feel exhausted anymore because she’s making time for herself and the things she loves.

LESSONS LAID BARE

Often times, what people think are the problems they need to fix are the last problems they need to fix. There needs to be “pre” stuff to tackle. For example, Heather wanted to grow her team, but look at all the stuff we worked on before we actually focused on the hiring and delegating part. It’s easy to miss that someone’s schedule and work habits influence how each system within each business is created.
